Privacy policy

The short version
This website sets no cookies and loads nothing from another company. It counts page views in a way that cannot identify you. We hold your details only if you book a call, send an email, or become a client. We do not sell data to anyone.
Who we are

What this website collects
Nothing is stored in your browser. No cookies, no local storage, no advertising or social pixels, no session recording. The typefaces are served from this domain rather than from Google, so loading a page here sends no request to any other company at all. There is nothing stored on your device to consent to, which is why you are not being asked to.
We count page views. For each page you open we record the time, the page itself, the page that sent you here, your country and region, and your browser, operating system and device type. The script that does it is served from this domain and the counts come back to this domain, so nothing about your visit goes to another company's servers.
Repeat views are grouped using a value our host derives from the request itself and throws away after 24 hours. There is no identifier stored on your device, nothing that follows you to another website, and nothing that lets us work out who you are. We use the counts to see which pages people read. That is all they are for.
Our host, Vercel, keeps standard server logs for every request: the IP address, the page requested, the time, the browser user agent, and the referring page. That is what serving a website involves, and it is how abuse gets spotted. We do not use those logs for marketing and we do not build a profile from them.

Our lawful bases, where the GDPR applies, are your consent when you contact us, performance of a contract once you are a client, our legitimate interest in running a business and reaching potential clients, and a legal obligation for tax and accounting records.
If we emailed you first
SoftOut sends business-to-business outreach. If an email from us arrived without you asking for it, we hold a small amount of business contact data about your company: a business email address, the company name and website, and one short note taken from a public page on your own site, stored with the source link and the exact quote it came from. Everything is collected from publicly published company web pages.
Reply with the word "remove", or write to ilia@softout.net, and the record is deleted. You do not have to explain and you will not get a reply asking you to reconsider.
Where we use AI
Stated plainly, because you should not have to guess. Automated systems, including AI models, do two things at SoftOut:
- They research companies and draft the opening line of outreach emails. Every factual claim in those lines is checked against a stored source page before it is sent.
- They assist in building the software we deliver. What we ship is reviewed and tested by a person before it reaches a client.
No automated system makes a decision about you that has a legal or similarly significant effect. This website itself contains no AI feature, no chatbot, and nothing that processes what you type. We do not give client data to AI providers for model training.
The companies we send data to
These are every third party that touches personal data connected to SoftOut. Apart from the page counts our host processes, described above, none of them receive anything simply because you visited this page.
- Vercel Inc. hosts this website, keeps the server logs described above, and processes the page view counts.
- Cal.com, Inc. handles bookings when you use the booking link.
- Google LLC provides Google Workspace, which is where our email and documents live.
- Stripe, Inc. handles invoicing and payments for clients.
We do not sell personal information, and we do not share it for cross-context behavioural advertising. There is no advertising on this site and no affiliate arrangement behind any link.
How long we keep it
- Server logs: held by Vercel under their own retention schedule, then discarded. We do not export or archive them.
- Page view counts: kept by Vercel as aggregate totals. The value used to group repeat views is discarded after 24 hours.
- Emails and booking records: for as long as the conversation is live, and deleted on request.
- Client project records: for the length of the engagement and afterwards while we support the work.
- Invoices and financial records: seven years, because tax law requires it. A deletion request cannot override that, and we will say so if it applies to you.
- Outreach contact records: deleted as soon as you ask.
Your rights, and how to use them
Whether or not any particular privacy law covers you, we will honour all of these. Email ilia@softout.net with what you want. We reply within 30 days, we do not charge for it, and we will not make you create an account to ask.
- Know. Ask what we hold about you and where it came from, and we will tell you.
- Get a copy. We will send you everything we hold about you in a readable file.
- Correct. Tell us what is wrong and we will fix it.
- Delete. We delete it, permanently, other than records tax law requires us to keep.
- Opt out. Tell us to stop contacting you and we stop, on every channel.
- Object or restrict. Ask us to stop a particular use of your data and we will, or explain why we cannot.
- No retaliation. Using any of these changes nothing about how we treat you or what we charge.
If you are in the UK or the EU and you think we have handled this badly, you can complain to your national data protection authority. If you are in California, you can complain to the California Privacy Protection Agency or the Attorney General.
Children
SoftOut sells to businesses. This site is not directed at children, and we do not knowingly collect anything from anyone under 16. If you believe a child has sent us personal data, email us and we will delete it.
Security
This site is served over HTTPS only, with HSTS and a strict Content Security Policy. It has no login, no user accounts, no database and no file uploads, so there is no store of visitor data here to breach. Payment details never touch our systems, they go to Stripe. Access to our email and client files is protected with two-factor authentication.
Changes
If this policy changes, the date at the top changes with it. There is no separate archive, so if you need a copy of the version you read, save this page.
